This Privacy & Cookie Policy explains how Avular processes personal data collected through the website at www.avular.com (the “Website”) and how we use cookies and similar technologies. We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and the Dutch Telecommunications Act. By using the Website you acknowledge the practices described here.

3. What personal data we collect

Depending on how you use the Website, we may process the following personal data.

  • Contact and enquiry data:when you submit our contact or “talk to an expert” forms, we process your name, email address, phone number, company, and the content of your message.
  • Newsletter data: when you subscribe, we process your email address.
  • Recruitment data: when you apply for a job, we process your name, email address, phone number, motivation, the vacancy you apply for, and your CV (uploaded file), including any personal data it contains.
  • Meeting scheduling data: when you book a meeting through our scheduler, we process the data you provide to confirm the appointment, such as your name, email, and chosen time.
  • Technical and usage data: collected automatically. This includes your IP address, device and browser type, pages visited, referring page, and interactions, primarily via cookies and similar technologies (see section 5). Analytics and advertising data is only collected after you give consent.

4. Purposes and legal bases

We process your personal data for the following purposes and on the following legal bases (Art. 6 GDPR):

  • To respond to your enquiries and provide requested information (legal basis: performance of a contract or steps prior to a contract, and our legitimate interest in helping prospective customers).
  • To send our newsletter (legal basis: your consent, which you can withdraw at any time via the unsubscribe link).
  • To handle job applications and our recruitment process (legal basis: steps prior to entering into an employment contract and, where relevant, your consent).
  • To analyse and improve the Website and measure marketing performance (legal basis: your consent for analytics and advertising cookies).
  • To secure the Website and prevent spam and abuse, for example honeypot and submission-timing checks (legal basis: our legitimate interest in the security and integrity of our services).
  • To comply with legal obligations (legal basis: compliance with a legal obligation).

5. Cookies and similar technologies

We use cookies and similar technologies. When you first visit the Website, a consent banner lets you accept or decline non-essential cookies. We apply Google Consent Mode: analytics and advertising cookies are set to deniedby default and are only enabled after you click “Accept all”. You can change or withdraw your choice at any time by clearing the cookies for this site in your browser, after which the banner reappears, or via your browser settings.

Strictly necessary

  • userConsent (Avular, first-party): stores your cookie-consent choice so the banner is not shown again. Stored in your browser for up to about 150 days.

Analytics (only with consent)

  • Google Analytics 4 and Google Tag Manager: to understand how the Website is used. Cookies include _ga and _ga_<id> (up to 2 years) and _gid (24 hours).

Marketing and advertising (only with consent)

  • Google Ads: to measure advertising conversions. Cookies include _gcl_au (up to 90 days). For conversion measurement, limited form data (such as your email and name) may be shared with Google in hashed form.
  • HubSpot: our CRM and forms/marketing platform. When you interact with our forms or meeting scheduler, HubSpot may set cookies such as hubspotutk, __hstc, __hssc and __hssrc to recognise returning visitors and attribute submissions (typically up to 6 to 13 months).

Embedded third-party content

  • HubSpot Meetings: our meeting scheduler is embedded from HubSpot. Using it may set additional HubSpot cookies and share the data you enter with HubSpot.

6. Who we share your data with

We do not sell your personal data. We share it only with service providers (processors) who help us operate the Website and our services, under data processing agreements, and only as necessary:

  • HubSpot (HubSpot, Inc.): CRM, forms, newsletter and meeting scheduling.
  • Google (Google Ireland Ltd. and Google LLC): website analytics (Analytics, Tag Manager) and advertising (Google Ads).
  • Microsoft (Microsoft Corporation): website hosting on Microsoft Azure (EU data centre), and Microsoft Power Automate, which we use to route incoming job applications and certain product-information requests.
  • Odoo: our recruitment management system (Odoo Recruitment), in which job applications, including CVs, are stored and processed as part of our recruitment process.
  • Storyblok (Storyblok GmbH, EU): the content management system that delivers the Website's content.

We may also disclose personal data where required by law or to protect our legal rights.

7. International data transfers

Some of our providers (such as Google, HubSpot and Microsoft) are established in or process data in the United States. Where personal data is transferred outside the European Economic Area, we rely on appropriate safeguards, in particular the European Commission's Standard Contractual Clauses and/or the EU-US Data Privacy Framework, to ensure an adequate level of protection.

8. How long we keep your data

We keep personal data only for as long as necessary for the purposes described above or as required by law. As a general guide: enquiry and contact data is kept for the duration of our relationship and a reasonable period afterwards; newsletter data until you unsubscribe; recruitment data is kept in our recruitment system (Odoo) for the duration of the application process and, with your consent, for a limited period afterwards in line with our recruitment retention policy; and analytics data according to the retention settings of the tools used. After these periods, data is deleted or anonymised.

9. Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you;
  • rectify inaccurate or incomplete data;
  • erase your data (the “right to be forgotten”);
  • restrict or object to our processing;
  • data portability;
  • withdraw consent at any time, without affecting processing carried out before withdrawal.

10. Security

We take appropriate technical and organisational measures to protect your personal data against loss, misuse and unauthorised access, including encrypted (HTTPS) connections and access controls. No method of transmission over the internet is, however, completely secure.

We may update this Privacy & Cookie Policy from time to time. The latest version will always be available on this page, with the “Last updated” date shown at the top.
